Minibus - Conditions of Use
1. All drivers must
• be aged 30-70 years of age. Drivers over 70 years must approved by our insurers. Contact: minibus@hertfordscouts.org.uk
• have a clean licence with D1 category (this is generally included if test passed before Jan 1st 1997). Alternatively, a formal PCV licence can be held.
[N.B. To tow more than 750kg you will need D1 + E]
• no accident claims in the previous 5 years
• a minimum of 2 years driving experience on a full licence.
2. Drivers transporting Hertfordshire Scouts under the age of 18 must hold, and provide a copy of, a current Minibus Drivers Permit issued by Hertfordshire County Council.
3. For Scout use, the Scout Association’s safeguarding guidance must be adhered to at all times.
4. The hirer must have their own risk assessment for use of the minibus for their activity which should include the number of drivers required (taking into account the time of day and number of hours driving required for the journey) and number of adults to young people travelling ratio).
5. The Minibus is only to be used for the activity as declared on the booking form and may only be driven by person/s named on the form and whose documents have been provided.
6. Failure to comply with any of the above conditions could result in the user bearing the cost of any claims made.
7. Any faults detected during use must be notified to minibus@hertfordscouts.org.uk as early as possible or immediately upon its return.
8. Any emergency repairs that may be required during use (the booking) must be authorised in advance. Contact minibus@hertfordscouts.org.uk. The District will only reimburse authorised costs and on production of a receipted invoice.
9. It is strictly prohibited to travel over rough terrain or through riverbeds etc..
The only exception is via an authorised route to access a recognised campsite.
10. The vehicle is supplied with a full tank of fuel and must be returned with a full tank. Failure to do so will result in a penalty charge of £25 plus the cost of the fuel.
11. The vehicle is to be returned clean and tidy inside and out. All rubbish is to be removed.
12. In the event of a claim against the vehicle’s insurance, the hirer must supply full details and will be liable for the policy excess.
13. The log book, kept in the glove box, must be completed for all journeys.
14. Tampering with, or unnecessary discharge of, the fire extinguisher will result in a £100 penalty charge.
Invoices for hire charges must be paid at least 14 days prior to the booking or, for late bookings, within 7 days. All other invoices must be paid within 7 days of receipt.
