Getting Started: Information for new Volunteers

We are excited that you have volunteered to come and work with Scouts in Hertford District - Thank you!

When you agree to volunteer on a regular basis there are a few things you and we need to do.

The Process

Criminal Records Check (CRB - formerly DBS)

All members have to complete a criminal record check. When your Lead Volunteer or their nominee intiates the process you will receive an email from Atlantic Data inviting you to log in and enter you chosen form of ID documentation. You will then meet with your Lead Volunteer or their nominee to show them your documentation so they can validate it. Once this is done you will log back into Atlantic Data and complete the process. 

When the check is complete you will receive your certificate to keep for your own records.

All volunteers have to repeat this process every 3 years.

OSM and MyMembership

OSM stores youth records, programme, attendance, events

My Membership stores adult records, training, permits etc.

There are some 'How do I ..." guides on the About tab above you may find useful. These will slowly be added to.

My Membership

MyMembership is the Scouts database. It holds information about all adult volunteers in Scouts as well as being the gateway to information and learning. In most Groups you will be added by your Group Lead Volunteer. Once this is done you will receive and email inviting you to log in to MyMembership.

When you are logged in, you need to:

  • Review your Declaration and confirm you accept it
  • Review your personal details and diversity monitoring and update if needed
  • Provide 2 references
  • Go to MyLearning

My Learning

As a new volunteer you need to complete the basic learning. There are 5 modules grouped under the heading Growing Roots; you have 6 months to complete all 5, but the most important are the Safety and Safeguarding modules which you must complete within your first month.

How to find your MyLearning:

  • Log in to MyMembership from Scouts.org.uk
  • Find the section headed MyLearning and click on it

n.b. this will bring up a list of the learning you have completed.

  • At the end of the line just above the black bar there is another link to MyLearning.
  • This will take you to learn.scouts.org.uk - you may need to log in again.

This will display the learning that you need to complete.

n.b. You can dip in and out of the learning as the system will remember where you got to so you don't have to complete each module in one go. 

If you don't complete Safety and Safeguarding modules within your first month (or if it expires in the future) your appointment will be suspended, so you will not be able to take part in any activities with young people until all Growing Roots modules are completed.

How to log in to MyMembership

Sign in to Scouts.org.uk by clicking the sign in button on the top right of your browser window (or within the 3 horizontal lines on a mobile device).

Enter your login email and password to sign in.

First time logging in?

Your Lead Volunteer or their nominee will create your profile on Scouts.org.uk. 

  • Click the link on the email you will receive to register your password.
  • Click the Forgotten password link
  • Type your email in the box
  • Click 'send verification code'.
  • You will receive an email with a 6-digit code in the next 5 minutes - don't forget to check your spam folder if you don't see it!
  • Type the code you received by email into the 'Verification Code' box.
  • Click 'Verify code'.
  • Click 'Continue'.
  • On the Update Password page, type a new password into the box
  • Type the password you have chosen again into the 'Confirm New Password' box.
  • Click 'Continue'.
